Terms & Conditions

Updated July 2025

Welcome to Raven Tours, the trading name of Raven Tours and Treks, a company proudly registered in Bhutan. When we say "we," "our," or "us" throughout these terms, we mean Raven Tours — the same team dedicated to crafting your journey with heart and care.

We see travel as a shared promise built on trust, kindness, and clarity. These terms aren't meant to feel like fine print; they're here to help us start on the same page so your experience feels smooth, safe, and deeply enriching from the very first step.

If anything feels unclear or you'd like to discuss it further, we're always happy to help. Just reach out — we're here to guide you, both before you arrive and after you return home.

Beginning Your Journey

We begin with a conversation, not a checkout button. Every Raven trip is custom-designed with your preferences in mind. After we've explored your interests and you're ready to take the next step, we request a small planning fee to begin crafting a personalized itinerary. This fee is fully credited toward your final trip cost should you choose to travel with us.

Once your itinerary is reviewed and approved, and we receive your confirmation, we proceed with securing your accommodations, local arrangements, permits, and Bhutan visa.

Payments

A deposit is required to confirm your journey. The balance is due before you arrive in Bhutan. Your payment schedule, accepted methods, and all key milestones will be outlined clearly as we plan together.

We'll provide secure instructions for your preferred payment method via international transfer or online checkout. Any applicable bank or transaction fees will be shared in advance, and we'll confirm receipt at every stage.

What's Included

Every Raven itinerary is tailored to the guest, meaning inclusions vary based on your style, length of stay, and chosen experiences. In general, your trip will include:

  • Accommodations thoughtfully selected for comfort, character, and alignment with your itinerary
  • A private, English-speaking guide and vehicle with a dedicated driver
  • In-country transport, entry fees, and government-required documentation
  • Bhutan visa processing and the Sustainable Development Fee (SDF)
  • Meals and exceptional experiences, as specified in your custom plan
  • Curated cultural moments—from prayer flag ceremonies to artisan visits—depending on your interests

Once your trip is finalized, you will receive a detailed document outlining all the inclusions.

What's Not Included

Items not typically included—unless requested or noted otherwise—may consist of:

  • International airfare
  • Travel insurance
  • Optional activities outside your agreed itinerary
  • Personal purchases, beverages, and gratuities

You'll receive a clear outline of what is not covered so you can prepare confidently and efficiently.

Guest Care & Preparation

Once your trip is confirmed, we'll send a beautifully curated preparation guide tailored to your itinerary. It will walk you through travel logistics, cultural etiquette, packing suggestions, and seasonal considerations.

You'll also be invited to join our private Raven Guests of Bhutan group—a quiet, intentional online space where past and upcoming travelers exchange thoughts, questions, and encouragement.

As part of our sustainability efforts, we provide guests with a refillable water bottle at the start of their tour. Your guide will carry fresh drinking water daily, allowing you to refill on the go and reduce single-use plastic.

Adjustments & Cancellations

Should your plans change, we'll work closely with you to adjust where possible. Minor changes are usually simple. Larger shifts—such as moving dates or changing regions—may involve different availability or pricing. We'll always be transparent about what's possible.

If you need to cancel your trip, just tell us in writing. The cancellation terms, including refund eligibility, depend on the notice period and the nature of bookings already confirmed on your behalf. These terms will be shared clearly during planning.

Certain elements—like Bhutan visa fees or payments made to local partners—may be non-refundable once processed. We encourage you to review our detailed Cancellation Policy before finalizing your trip.

Travel Insurance

We highly advise obtaining travel insurance that includes coverage for trip cancellation, emergency evacuation, and medical services. Bhutan's beauty lies in its remoteness, and travel protection ensures peace of mind should the unexpected arise. We're happy to guide you through this process or offer general recommendations if you're unsure where to start.

Force Majeure

Some circumstances—natural disasters, political events, or sudden airline disruptions—are beyond anyone's control. Should such a situation affect your trip, we'll do everything possible to offer suitable alternatives, reschedule, or issue a travel credit. Refunds will depend on recoverable amounts from our partners.

Travel Documents & Guest Responsibility

You'll need a passport valid for at least six months beyond your return date. We'll guide you through the Bhutan visa process, but you must secure any necessary transit visas and provide accurate documentation.

Please inform us of any health conditions, mobility concerns, or dietary needs affecting your experience. Bhutan's terrain includes hills, mountain passes, and occasional altitude shifts—we're happy to adjust your itinerary accordingly.

We ask that guests travel with openness, respect local customs, and follow guidance from their licensed guide. This ensures their safety and a more enriching connection with the places and people they'll meet.

Our Commitment & Limitations

We work with a trusted network of hotels, drivers, airlines, and cultural partners across Bhutan. Third parties provide services while we carefully coordinate and oversee every detail. If a disruption occurs due to one of these providers, we'll act swiftly to assist, though we cannot be held liable for outcomes beyond our control.

Likewise, while we try to prevent issues, travel inherently carries some risk. By choosing to travel with us, you acknowledge that Raven Tours cannot assume responsibility for injury, loss, or delay arising from unforeseen or external circumstances.

Governing Law

The laws of the Kingdom of Bhutan govern these Terms. We'll constantly seek resolution through respectful dialogue before a dispute arises. If necessary, Bhutanese courts will hold jurisdiction.

Content & Intellectual Property

All content on our website—including text, imagery, and itineraries—is the property of Raven Tours unless credited otherwise. Use without written permission is prohibited.

In Closing

These terms are simply an invitation to proceed with clarity and mutual respect. They're not fine print meant to intimidate, but an extension of how we operate: with honesty, care, and the belief that thoughtful preparation allows for beautiful spontaneity.

If you have any questions, we welcome them—before, during, or long after your journey.
